Before a person reads your resume, software usually does. An applicant-tracking system (ATS) parses your file into fields — name, titles, dates, skills — so a recruiter can search and sort. When the parse goes wrong, a strong resume can quietly drop out. The good news: making yours read cleanly is mostly mechanical.

What “passing the ATS” really means

There’s no single ATS, and no honest tool can promise you’ll “pass” a specific employer’s screen — that depends on their keywords and settings, which you can’t see. What you can control is whether the software reads your resume cleanly: does it pull your name, titles, dates, and skills without garbling them? That’s the real, achievable goal.

Why good resumes get garbled

The usual culprits are formatting, not content:

• Tables, columns, and text boxes — many parsers read them out of order or skip them.
• Headers/footers — contact info placed there can get dropped.
• Graphics and icons for skills or ratings — invisible to the parser.
• Unusual section headings — “Where I’ve Made an Impact” may not register as “Experience.”
• PDF saved as an image — nothing to read at all.

Build for a clean parse

• Single column, standard fonts, real text (not an image).
• Conventional headings: Summary, Experience, Skills, Education.
• Dates in a consistent format next to each role.
• Skills written out as words (not only in a graphic).
• Save as a text-based PDF or DOCX unless told otherwise.

Match keywords — honestly

Parsers and recruiters search for the words in the job description. Use the real terms for skills you actually have. The honest rule: mirror the job’s language only where it’s genuinely true of you — never paste in keywords for skills you don’t possess.
